Charges and Payment
Payment for all our events is due as specified on the Registration Form / Contract.
Any Registration Form / Contract
returned to Us without the relevant specified payment will not be
legally binding until such time as Payment is received by us.
Should a Deposit or Prepayment be required for any Event, this will be specified in The Contract.
Payment Terms may be varied only by agreement with Big Adventure Events.
Confirmation by The Client
All bookings are considered provisional until The
Contract is signed by The Client and received by Us complete with all
specified Payments.
The Registration Form must be
returned by The Client and received by Big Adventure Events within ten
(10) weeks from the date of the event. If The Contract is not received
by Us within this period, We reserve the right to release the
Provisional Booking and re-let the Exhibition Space / Event.
Cancellation by The Client
Cancellations must be made in writing. Full payment
is required if a cancellation is made within 10 weeks prior to the
event. Big Adventure Events will attempt to resell the stand space, but
if We are unable to, the exhibitor shall remain liable for the full
amount.
Amendments or Cancellation by Big Adventure Events
Should We, for reasons beyond our control, need to
make amendments to Your booking, we reserve the right to offer an
alternative choice of facilities OR reimburse You for the full amount
of your booking cost.
General
The Client agrees to be responsible for all matters
relating to Health and Safety in respect of The client's
display/stand/exhibition/space/merchandise/activity and for compliance
with legal Health and Safety requirements. From time to time, and
depending on the Venue, We will provide specific requirements to which
the client must adhere.
If You endeavour to exhibit any
item(s) contrary to Our stipulations, We reserve the right to prohibit
You from exhibiting with no reimbursement of Payment Costs to You.
Should The Client be unable to
correct any aspect of poor behaviour or activities unacceptable to Big
Adventure Events, We reserve the right to terminate your booking and
insist that You leave the Event forthwith. Should this occur, no monies
shall be refunded to You.
The costs of repairing any damage
caused to an Event Venue, contents or grounds by any Client must be
reimbursed to The Venue Owner by The Client.
No wines, spirits or foods brought
into the Event Venue may be consumed, unless otherwise stipulated by
Us. This is the case because many Venue Owners disallow this practice.
The Client is responsible for
ensuring that any equipment used by The Client complies with statutory
requirements and the statutory requirements of Us and the Event Venue.
Big Adventure Events must comply
with certain licensing and statutory regulations and requires The
Client to fulfil their obligations in this respect.
We are concerned for Your safety
and that of The Public and Event Venue Staff. You are required to
obtain prior written approval if you wish to fix items to the floors,
walls or ceilings at an event.
Insurance
The Exhibitor shall take out adequate insurance in
respect of all liabilities of the Exhibitor in relation to the event
during build up, break down and opening times. Exhibitors are required
to have a Minimum of £1 Million pounds public liability
insurance. As such, Big Adventure Events shall not be liable for any
claims arising from death or bodily injury, damage to or loss of
property caused by the Exhibitor or any person or company acting on
their behalf. In submitting the Registration Form, the Exhibitor will
indemnify Big Adventure Events in respect of each and every claim and
all actions, claims, costs, proceedings and demands in respect thereof.
The Exhibitor shall also adequately insure all property on a full 'All
Risks' basis for a sum insured equivalent to the full value of all
property and exhibits brought to the Event. The Exhibitor confirms that
adequate insurance is or will be in force for the duration of the Event
including set up and break down periods.
Security
The Event Venue is locked overnight. However,
Exhibitors should ensure that adequate measures are taken to protect
individual stands. Big Adventure Events shall be under no liability
whatsoever for any loss or damage.
Event Disruption
If the Event is cancelled, postponed or has to be
abandoned for any reason of war, national emergency, terrorist attack,
civil disturbance, inevitable accident, explosion, fire, storm, labour
dispute, strike, lock-out, force majeure, the non-availability, of
either all or partially, of the Event venue or any other cause, not
within the control of the organisers, Big Adventure Events will be
under no liability to the Exhibitor in respect of any actions, claims,
losses (including consequential losses) costs or expenses whatsoever
which may be brought against or suffered or incurred by the Exhibitor,
as the result of the occurrence of any such events.
Setup & Breakdown
Set up and Breakdown times will be issued to
Exhibitors at the same time as the floor plan. Set up may not begin
before the allocated time and must be completed prior to the Event
being opened to the Public. All packaging must be out of sight and all
walkways must be clear. Failure by the Exhibitor to maintain these
standards will result in expulsion from the Event forthwith. Breakdown
must not begin until the Event is over and visitors have vacated the
premises. Exhibitors, their contractors and agents are required to
vacate the venue by no later than 8pm on the final day of the Event.
Any costs incurred by Big Adventure Events for failure to vacate by the
allocated time will be passed on to the Exhibitor.
Exhibits & Displays
Big Adventure Events reserves the right to examine
and exclude any exhibit which contravenes security, fire or safety
regulations.
No Exhibitor will be permitted to
install a display or exhibit in such a way that in the opinion of Big
adventure Events, restricts access to neighbouring stands, obstructs
the light or impedes the view along open spaces and / or walkways.
Heavy and bulky exhibits are
restricted by floor loading and restricted access. Individual
requirements must be advised in writing to Big Adventure Events and
must be approved in writing from Big Adventure Events.
Exhibits, services and products on
offer at the Event must be listed on the Registration Form. Items not
listed will not be permitted. If your Registration is accepted, a
confirmation document showing the services and / or products being
offered will be sent to you. Any additions or changes must be applied
for in writing to Big Adventure Events and approved in writing by Big
Adventure Events.
Walkways & Fire Exits
Under no circumstances will exhibits, stand
dressings, tables and chairs etc be allowed to encroach into gangways.
Please ensure you remain within your stand limits. Exhibitors must not
obstruct any fire exits at any time.
Electrical Appliances
All electrical appliances must meet the requisite
safety standards. Please ensure that any equipment you use has been
tested prior to the Event.
Gas
The use of gas and pressurised containers is prohibited.
Refuse Disposal
All refuse and unwanted packaging must be disposed of by the Exhibitor.
Floor Plan
The Floor Plan is non-negotiable. Big Adventure
Events will arrange the Floor Plan in a way that best serves the
Exhibitors in terms of variety and non-conflict. We reserve the right
to alter the Floor Plan if it would be in the best interests of the
Event.
